The Payroll Specialist is responsible for ensuring accurate and timely payroll processing for all employees while maintaining compliance with federal and state regulations. This role supports the full payroll cycle, manages employee records, assists with benefits-related updates, and provides exceptional service to resolve payroll inquiries. The Payroll Specialist collaborates with internal and external teams to maintain smooth and efficient payroll operations. Also, the Payroll Specialist will support our payroll system and other HRIS implementation.

Responsibilities
  • Support and assist in payroll processing
  • Review, verify and adjust all employee timesheets before processing payroll to ensure accuracy
  • Coordinate with HR on new hire onboarding and employee terminations, such as updating employee profiles in payroll and benefits systems and ensure portal access
  • Prepare and update payroll summary/changes for payroll processing
  • Maintain communication with ADP to ensure compliance and resolve payroll-related issues
  • Respond to state agencies, as necessary, for compliance letters and notices 
  • Provide excellent employee support to resolve payroll related issues and document process controls and approvals
  • Investigate and resolve any payroll related discrepancies
  • Prepare ad-hoc payroll reports and provide data for projects and audits as requested
  • Update benefits tracking, 401k, and HSA workbook regularly to ensure accuracy, calculate pro-rated benefits accruals and make adjustments
  • Assist in ADP system upgrade, ERP connections with HRIS and other/special projects as necessary
  • Other responsibilities as assigned
Qualifications
  • Bachelor’s degree in accounting or human resources or equivalent education/experience required
  • 1 to 2 of payroll/HR experience, including multi-state payroll tax, including creating new states UI and tax account registration
  • Knowledge of multi-state payroll processing, wages and labor laws
  • Able to interpret various wages calculations including pro-rated days or hours
  • Strong proficiency in Excel, payroll and HR systems
  • Experience with ADP Run platform or Workforce preferred
  • Time & Attendance tracking is highly desired
  • High attention to detail with the ability to maintain confidentiality at all times
  • Strong communication skills and ability to work collaboratively in a team environment
  • Bilingual in Chinese/Mandarin is preferred, but not required

Compensation and Benefits:
The expected base salary range for this position is $60,000 - $85,000 annually. Actual compensation will be based on a variety of factors, including but not limited to a candidate’s qualifications, experience, and skills.
While most offers typically fall within the low to mid-point of the range, we may extend an offer toward the higher end for exceptional candidates whose background and expertise align strongly with the requirements of the role.
